As the forward-facing company and often first point of contact for external visitors, a Receptionist job description should include:

  • Record managing and management of meeting rooms
  • Possibly conducting event organization, both inside and outside controlling queries and criticisms via phone, email, and general correspondence
  • Welcoming all visitors
  • Transferring calls as necessary

We are searching for an experienced RECEPTIONIST/RESERVATIONIST to join this high-class 5 Star Boutique Hotel, located In Rosebank, Johannesburg. The Guesthouse prides itself with a newly modernized glamorous place to stay, Spa, luxurious green gardens, interior hot water swimming pool, and state of the art meeting facility

Skills and Experience required for this position

  • Matric certificate
  • Have at least a minimum of 3 years’ experience in the hospitality business – Reception / Reservations
  • Have an experience from a high-class establishment (luxury hotel or 5-star lodge)
  • Former experience with Nightsbridge and Outlook
  • Admirable communication skills
  • Be fluent in English
  • Have additional languages knowledge will add as an advantage
  • Pay attention to detail
  • Be able to work under pressure and a fast thinker
  • Have the ability to talk well with guests
  • A friendly and welcoming approach
  • High standards of dress and presentation
  • Ability to keep on calm during difficult circumstances or in a very busy situation
  • To make sure that all reservations and cancellations are administered competently

Key Responsibilities

  • Dealing with guests over the phone
  • Taking and inputting reservations
  • Negotiating rates in Guesthouse
  • Handing out a more classy room to the Customer
  • Provide friendly, welcoming, and disciplined service to all Guests
  • Take in front of company duties, including meeting, greeting, and attending to the needs of the guest
  • To shape a good rapport with all guests and be able to solve any complaints issues quickly to maintain high-quality customer service
  • To deal with guest requests to make sure of a comfortable and pleasant stay
  • To assist in dealing with customer complaints in an operative and polite manner, providing or try to find the way out as fast as possible.
  • To be in charge of correct and effective accounts and guest billing processes
  • To take on general office duties, such as correspondence, emails, filing, and switchboard, to make sure of the smooth running of the reception area.
  • To make sure that all reservations and cancellations are administered competently
  • To keep room prices and special offers updated to offer accurate information to guests
  • To report any repairs, breaking, or cleanliness problems to the appropriate manager
  • To obey all fire safety test techniques and to assist in the moving process in the event of a fire
  • Pleasant telephone manner
  • Good secretarial skills and good ability to use email and booking systems
